Five steps to a completed classification

The guide is designed to be worked through in order. Follow these five steps and you will have a completed, signed screening record by the end.

01
Read Chapters 1 and 2 first

Chapter 1 establishes why classification matters legally. Chapter 2 explains the exact Article 6(1), (2), and (3) obligations and the full downstream consequence cascade. This frames everything that follows.

Complete your AI system inventory (Chapter 3)

Open the Excel register (REG-AIMS-CLASS-001) and populate the cls_ai_system worksheet. One row per system. The one-row-per-system rule is explained in Chapter 3 — read it before populating. Do not classify systems before the inventory is complete.

Apply the three-step test to each system (Chapters 4–6)

Work through Chapter 4 (the decision tree), then Chapter 5 (your specific Annex III domain), then Chapter 6 if the Art. 6(3) exclusion may apply. Complete the cls_assessment worksheet in the register as you go.

Complete the screening record (Chapter 8)

Chapter 8 walks through every field of the screening record template. Fill in Document Control, System Identification, Three-Step Assessment, and Sign-off. The worked GPT-4o example is your reference model.

Get sign-off and file the record

The screening record requires sign-off from the responsible officer (typically the DPO or CIO). Once signed, log the record in the cls_audit_log worksheet and retain in your document management system. If a system is classified high-risk, Chapter 7 gives you the 30-day action plan.
